Integration quotes vary wildly because most of them hide the real scope. Here is what this work actually costs in 2026 and where the budget really goes.
A simple one way sync with a modern, well documented API runs $2,000 to $5,000. A standard two way integration, like CRM to billing, runs $8,000 to $25,000 depending on data volume and edge cases. Legacy system and compliance heavy integrations run $30,000 to $80,000 and up. Building a custom API from scratch for your own product typically starts around $15,000. The API call itself is never the expensive part. Authentication, error handling, data mapping, and testing are where the hours actually go, which is why quotes that only count endpoints always overrun.
Sometimes, yes. iPaaS tools are the right call for light workflows, low volume, and standard apps, and we will tell you when they are enough. Custom integration wins when volume grows past iPaaS pricing tiers, when you need two way sync with conflict resolution, when a legacy or on premise system is involved, or when sensitive data cannot route through a third party. The pattern we see constantly: teams start on Zapier at $60 a month, scale to $1,500 a month, then hire us to build the integration properly and cut the recurring bill.
